Campaign Recruitment
As you can see, a campaign is much more structured than a simple fundraiser. It is essential that you recruit the right people. The overall chair is crucial and should be a person with good standing within the community.
The Campaign Chair then has the responsibility to recruit the Division Chairs. In the above situation, they should recruit the Lead Gifts Division Chair, Advance Gifts Division Chair, and Sustainer Gifts Division Chair.
Each Division Chair then has the responsibility to recruit 3 to 5 teams (you may choose your own team names that fit with your groups mission). A team may have one host that will conduct two coffees or two hosts that will conduct one coffee each. Of course, the chairs of the above should attend and assist with the coffees as they occur. Each Team should manage and report back to the Division Chair the results of each coffee.
Donor Selection
Two processes may occur when selecting donors. If you already have a large number of donors in your database, then it would be wise to allow the Lead Gifts Division to recruit from the biggest contributors and establish their invitations accordingly. The next hightst gifts should go to the Advance Gifts Division and finally the lowest contributors divided into the Sustainer Gifts Division.
Another way is to use the Coffee Campaigns to bring in new donors that know little about your organization. If this is the case that you are seeking, then each Division Chair should work with their teams to generate a list of potential invitees and who would be the best to invite them. Then divide these lists up for the immediate use of teams to issue invitations.
Your Potential
If every team above generates conservatively 5 monthly gifts of ten dollars per month out of ten visitors then you can generate $600 per coffee. With two coffees per team and 13 teams you could be counting $15,600.00, but probably much more.
So go have your coffees and have fun getting to know new people and raising more money. You'll really be surprised at how much your potential will increase your bottom line.
